What is Cloud ERP and How Does It Work?

The importance of managing operations efficiently and being competitive today is critical. However, cloud ERP (Enterprise Resource Planning) is one way businesses accomplish this. With organizations adopting cloud-based platforms, cloud ERP software has become a must to enhance processes, increase data accuracy, and improve performance.

This comprehensive guide will explore cloud ERP, its benefits, types, and the key difference between ‘cloud-based ERP’ and ‘on-premise ERP’.

We will also help you learn how to minimize operational inefficiencies within the business using cloud ERP and answer some of the often-asked questions regarding why cloud ERP is important in today’s market.

What is Cloud ERP?

Cloud ERP allows the storage of essential business information in a shared or private cloud. The data is hosted and maintained in a server handled. On-premise ERP, on the other hand, allows data to be stored on external hardware, which requires handling by an internal IT team.

ERP combines crucial functions—finance, HR, sales, and procurement—into one system, giving business visibility into real-time operations. Unlike traditional systems, which only allow direct access, Cloud ERP allows you to access data remotely, making it an advantageous and adaptable resource for all business sizes.

If you’re running a business in a fast-paced environment or need to scale up, cloud ERP is the ideal choice as it’s more flexible, has less upfront cost, and is scalable.

How Does Cloud ERP Work?

Cloud ERP works by making businesses’ ERP applications available through the Internet. Let’s look at the stage-wise process:

1. Cloud Infrastructure
The server services are hosted by Cloud Service provider which is made available to the client as per their requirement. They rent it to the end user and provide access to the cloud server, which is then accessed by ERP vendor to install the ERP solution and carry the configurations This means businesses do not need to invest in expensive external servers or employ IT resources to handle the systems.
2. Internet Access
Employees and users can access the cloud ERP system from any place, time, and internet-enabled device. Cloud ERP is a good fit for businesses with branch offices or employees worldwide.
3. Real-Time Data
Cloud ERP allows integration of all remote locations & departments by storing data from each department within the organization in one robust system. This enables decision-makers to get accurate and up-to-date information, allowing them to make better decisions and avoid delays and data silos.
4. Automated Updates
The latest updates and system maintenance come as a package from the ERP software provider. This means that businesses can always use the most recent version of the software without spending resources maintaining software versions manually.
5. Integration of Cloud ERP Modules
Each Cloud ERP includes all critical business functions in addition to finance, sales, inventory management, and procurement. These ERP modules create a holistic view of all business processes, helping users manage their performance and optimize resources.

Types of Cloud ERP Software

When you think of cloud ERP software, there are many different cloud ERP solutions, each with unique features and advantages. The most common types include:

1. Public Cloud ERP
Multiple organizations share the same cloud infrastructure and services from the same ERP vendor, making it the most common type of cloud ERP. It’s cheap and scalable but doesn’t provide many customizations.
2. Private Cloud ERP
An ERP system is hosted on a private cloud dedicated to only one organization. It offers more control and better security, but greater customization flexibility comes at a premium and is generally more expensive than alternatives in the public cloud.
3. Hybrid Cloud ERP
In a hybrid ERP model, some organization departments use a cloud environment while others work on-premise. The sensitive business function data is stored on-premise, but the other business functions are cloud-hosted. This allows organizations to configure the ERP system how they want it.

Before choosing a cloud ERP type, businesses must know all available options.

Cloud-Based ERP vs. On-Premise ERP: Key Differences

Selecting a suitable ERP system is perhaps the most significant decision every business owner needs to make. Comparing both systems might help you determine an ideal choice.

1. Deployment and Maintenance
A cloud ERP server is hosted and maintained by a cloud service provider . It does not require the installation of physical servers or additional infrastructure. An on-premise ERP involves purchasing external hardware and employing a professional IT team to handle sensitive data within the organization. Cloud ERP is gaining popularity because it is an affordable and time-efficient solution.
2. Cost
Most cloud ERP solutions are subscription-based. Businesses can choose the resources and pay only to use them. Small and medium-sized enterprises find cloud ERP a cost-efficient way to handle data, whereas an on-premise ERP is comparatively expensive. Various upfront costs like deployment, external hardware, maintenance, and updates are included in the on-premise solution.
3. Scalability
Cloud ERP can be scaled easily, allowing companies to increase their server storage without additional infrastructure as they expand. In contrast, on-premise ERP systems would require increased infrastructure and additional resources. This makes cloud-ERP an easy and more flexible solution for growing businesses.

Challenges of Cloud ERP

Despite the benefits offered by cloud ERP systems, businesses need to be prepared to encounter a few challenges:

1. Data Security Concerns
Industries with strict compliance regulations often express concerns regarding storing sensitive data in the cloud. Although cloud ERP software providers take extra security measures, the event of data breaches isn’t quite eliminated.
2. Internet Dependency
Cloud ERP needs to be connected to the Internet. Any problems with the Internet service can disrupt business operations and cause delays due to loss of temporary access to useful data.
3. Customization Limitations
For businesses that frequently seek customization features based on organizational requirements, cloud ERP systems may lack as much customization as on-premise ERP solutions.

Businesses must understand these drawbacks to make informed decisions before deciding between cloud ERP and on-premise ERP.

Cloud ERP Modules

Each Cloud ERP module is an independent functional piece related to a specific business operational area within an ERP system. Some of the essential cloud ERP modules include:

1. Financial Management
The financial management module shows businesses how much revenue and expenses are coming through and their overall economic performance in real time.
2. Human Resources (HR)
The HR module assists you in managing employee records. It smoothens the workflow by automating payroll for every employee, gathering points for performance reviews, and adhering to labor rules.
3. Customer Relationship Management (CRM)
CRM module assists businesses in managing customer interactions, following up on sales opportunities, and automating their marketing efforts.
4. Inventory Management
The Inventory management module controls the procurement, production, and order processing to ensure optimum inventory while meeting the timelines

Businesses can customize modules based on their organizational needs. Including the most relevant modules in the ERP system helps them to experience a harmonious workflow across all departments.

Conclusion

Due to the continuous evolution of Cloud ERP, businesses can harness data in real-time and automate various workflows without deploying regular on-premise ERP systems. They can keep on scaling and being livable. Whether looking at cost savings or making better decisions, the benefits of a cloud ERP are obvious. 3. What are the benefits of cloud ERP software?
The primary advantage of implementing cloud ERP software is that they are cost-efficient, scalable, and flexible. An organization shifting its business processes to a cloud ERP doesn’t necessarily have to launch an infrastructure of on-premises hardware or the maintenance of the associated IT. It helps to get real-time business data to make better decisions and improve operational efficiency. They scale up with the business easily, adding more users, modules, or locations with little effort on infrastructure. The vendor constantly updates cloud ERP systems, so businesses have the newest additions and security enhancements without manual intervention, improving overall performance and security.
4. What are the types of cloud ERP software?
There are three main types of cloud ERP software: Public, Private, and Hybrid. A public cloud ERP is a hosted application in a shared environment managed by a third party for a cost-efficient and scalable solution. On the other hand, a private cloud is an ERP solution for a single company that prefers strict control over its operations. This ERP type is expensive as all resources need to be customized and managed for the organization. A hybrid cloud ERP is a combination of cloud and on-premise, where businesses keep some specific data in-house, but to take full advantage of the capacity of the cloud, they store less sensitive data outside the organization. The benefits of each type depend on the needs of the business.
5. What are the differences between cloud-based ERP and on-premise ERP?
The most significant difference between cloud-based ERP and on-premise ERP is location and upkeep. Cloud ERP is hosted on external servers and accessed through the Internet; therefore, there is no need to have in-house infrastructure and IT management. On-premise ERP is typically installed on the company’s servers. Hence, it’s entirely under the company’s control but also comes at a considerable price – in upfront hardware, installation, and ongoing maintenance costs. With cloud ERP, businesses have more flexibility, scale whenever they want, and access it from anywhere. However, on-premise ERP offers more customization, making it ideal for companies wanting to gain full authority over their data and business processes.
6. How secure is cloud ERP?
ERP in the Cloud is usually secured by ERP vendors implementing assorted security measures. Encryption, multi-factor authentication, role-based access control, and regularly updating our systems for security updates (in the event of cyber threats.). SourcePro is a reputable ERP vendor that invests in all the latest security technologies and compliance standards they have in place to protect the data. Security issues surrounding cloud storage of sensitive data exist, but cloud ERP providers tend to
have much more robust security protocols than most companies can implement internally. Cloud ERP solution providers also meet industry-specific standards and guarantee protection against breaches, malware, and unauthorized access to business data.

7. What are the challenges of cloud ERP?
Along with the advantages of cloud ERP, business owners need to know the challenges. Data security is a burning concern for businesses in industries that must strictly adhere to compliance rules. They are often under the threat of facing data breaches. As cloud ERP uses the Internet to streamline business processes, any issue with the internet connection can cause delays and disrupt the functioning of the business. Another challenging factor is customization. For businesses that are very particular about their needs, cloud ERP may not be able to offer as many customizations. On-premise ERP may hold more value to such organizations. Finding an ERP vendor who offers post-installation training and maintenance might be challenging. All employees must understand the ERP software’s basic functionalities to ensure successful cloud ERP implementation.
8. How do I choose the right cloud ERP vendor?
There are some important things to consider when finding the right cloud ERP vendor. First, check your business needs and how the ERP vendor provides solutions according to your industry. Witness features that will complement your operational goals: scalability, real-time data access, or possible integration with your present software. Consider the vendor’s name, brand, customer support, and the number of ERP modules. Also, review their security protocols, uptime guarantees, and pricing models to ensure they fit your budget. SourcePro brings cloud ERP solutions tailored to suit different industries and is a good partner for growing businesses.
9. What are cloud ERP modules?
Cloud ERP modules handle specific business functions in an ERP system. In functionality, these modules are divided into financial management (accounting and cash flow), supply chain management (procurement and logistics), human resources (employee-related records and payment), and customer relationship management (tracking customer interaction and selling). However, each module can operate independently and with other modules to give an entire view of business operations. As such, this modularity makes it possible for organizations to customize their ERP system to their requirements, investing only in the features that bring value to their operations.
10. How can cloud ERP save businesses money?
Cloud ERP is much cheaper than on-premise ERP. The first is that it removes the requirement of expensive hardware and IT infrastructure since it is hosted on external servers. Apart from the fact that it saves businesses on maintenance costs, ERP also helps cut software update and system management costs. With subscription-based pricing mode, companies pay for only the features they use. Hence, it’s a scalable and cost-effective solution. Cloud ERP also minimizes the cost of manual processes and human errors by automating workflows and delivering real-time data for intelligent decision-making that helps to save on everything from operational efficiency to financial savings.
